Booking with Cal.com or Calendly
Appointment booking chatbot: visitors book a meeting without leaving the chat
Connect Cal.com or Calendly and your agent shows real open times under its reply when a visitor wants a call, a demo or an appointment. They pick a time, enter their name and email, and the meeting is in your calendar.
Visitor: Can I see a demo of the reporting module?
Agent: Of course. You can book a 30-minute demo with our team right here: pick a time below that suits you.
Visitor: Do you have anything on Thursday afternoon?
Agent: Here are the open times on Thursday. Choose one, then enter your name and email to book it.
Agent: Booked: Product demo on Thursday, October 15, 2026 at 2:30 PM (Europe/Berlin). A confirmation should arrive at ana@example.com.
Every extra click between "I’d like a call" and a booked meeting loses people
A visitor who asks your chatbot for a demo is ready now. Send them to a separate booking page, make them find the right event type and start again in another tab, and some of them never finish. A chatbot that types out times is worse: it can only guess what is free. With booking in intoCHAT, the times come straight from your Cal.com or Calendly calendar, never from the AI model. The visitor books in the same conversation where they asked, and your calendar tool sends its usual confirmation and invite.
Why book meetings in the chat
The moment a visitor asks is the best moment to book.
Real availability, not guesses
Open times are read from your calendar each time. Right before booking, intoCHAT asks your calendar again, so a time someone else just took is never double-booked.
Booked in a few clicks
The visitor picks a day and a time, enters a name and an email address and clicks Book. The confirmation appears in the chat at once.
Offered at the right moment
You describe when to offer booking, for example when a visitor asks for a demo or when the team is available. The agent shows the times when the conversation fits.
In the visitor's time zone
Times are shown in the time zone of the visitor's browser and written the way their browser writes dates, so nobody has to convert.
Bookings reach your tools
Every booking is listed on the Leads tab, and can trigger a booking.created webhook and a Slack alert, so your team sees it straight away.
How to set up booking
Create a key in your calendar tool
In Cal.com, create an API key. In Calendly, create a personal access token with the scopes users:read, event_types:read, availability:read and scheduled_events:write.
Connect it on the Actions tab
Open the Booking card, choose Cal.com or Calendly and paste the key. intoCHAT checks it by loading your event types. The key is stored encrypted and never shown again.
Pick the event type
Choose the event type visitors book, such as a 30-minute intro call. Event types hidden on your public booking page can still be booked from the chat.
Tell the agent when to offer it
Optionally write when to offer booking, up to 1,000 characters. Save, and booking is live. Try it in the Playground, where a booking is real, so cancel test bookings afterwards.
What booking includes
Cal.com and Calendly
Connect one calendar and one event type per agent. Calendly allows booking through its API only on its paid plans (Standard and above).
A time picker under the reply
Up to 5 days with open times and up to 8 times a day, spread so mornings and afternoons both appear. The agent looks 7 days ahead by default, or at the days the visitor asks for, up to a year ahead.
Confirmation in the chat
The booking appears as a message from the agent. If your Cal.com event type needs your confirmation, the message starts with Requested instead. Your calendar tool sends its usual emails and invites.
Five widget languages
The picker's labels follow the widget language: English, German, French, Italian or Spanish. The event type's title is shown as you wrote it.
Bookings list and transcript
The Bookings card on the Leads tab lists each meeting with the name, email, time zone and a link to the conversation. Why this answer shows which reply offered the times.
Honest when nothing is free
If there are no open times, the agent says so and can look at other days. If your calendar cannot be reached, it says booking is not working right now. It never makes up times.
Frequently asked questions
Which calendars can I connect?
Cal.com and Calendly. Google Calendar and other calendars cannot be connected directly. To send visitors to another booking page, add a custom button that links to it, or call another booking system with an API action.
Do I need a paid Calendly plan?
Yes. Calendly only allows booking through its API on its paid plans (Standard and above). On the free Calendly plan, every booking is refused. Cal.com works with an API key from your Cal.com account.
Which intoCHAT plans include booking?
Booking is not tied to a paid intoCHAT plan: you can connect Cal.com or Calendly on any plan, including Free. Inside a procedure, available from Starter, an Instruction step can also tell the agent to offer booking after a few qualifying questions.
What does the visitor have to enter?
Only their name and email address, in the picker under the agent’s reply. The agent does not ask for them in the chat. For a Calendly event type with a required booking question, or a location the invitee has to choose, booking from the chat is not possible and the event type cannot be picked.
Can visitors cancel or reschedule from the chat?
No. Cancelling and rescheduling happen in Cal.com or Calendly, through their usual emails. intoCHAT does not sync changes back, so the Bookings list keeps showing the original booking.
Is a booking counted as a lead?
No. The name and email from a booking do not create a lead or send a lead alert. Bookings have their own list on the Leads tab, their own booking.created webhook and their own Slack alert.
Does booking use up messages?
The reply that shows the times counts like any other reply. Booking the time itself does not use a message.
Does booking work in every chat?
It works in the chat bubble, the inline iframe, the direct link, the Help Page and the Playground. It is not offered in temporary chats, because a booking always belongs to a saved conversation. There, the agent asks the visitor to leave the temporary chat and ask again.
