Use case: appointment scheduling
Automate appointment scheduling without the back-and-forth
Your AI agent answers the questions people ask before they book, such as price, duration or what to bring, then shows real open times from your Cal.com or Calendly calendar in the chat. The visitor picks one, and the appointment is in your calendar, also at night and at weekends.
Visitor: Do you treat lower back pain? I’d like to come in next week if possible.
Agent: Yes, we do. New patients start with a 45-minute assessment, where the therapist looks at the cause and plans the treatment with you. I’ve put the open times for next week below, so you can pick one that suits you.
Agent: Booked: Initial assessment on Thursday, October 15, 2026 at 9:00 AM (Europe/Berlin). A confirmation should arrive at mara@example.com.
Visitor: Great, thanks. Do I need to bring anything?
Agent: Please bring comfortable clothing and any doctor’s referral or scan reports you have. If you need to move the appointment, use the link in your confirmation email.
Finding a time takes longer than the appointment request itself
Someone wants an appointment. They call while you are busy, write an email or fill in a contact form, and then the ping-pong starts: "Does Tuesday work?", "Only after 4", "Then Thursday morning?". Each request costs your team several messages, and people who ask in the evening or at the weekend wait until the next working day for a first answer. Some book with whoever replies first. Automating appointment scheduling means two things. The questions that come before a booking get answered right away, from your own information, and the booking itself happens in the same conversation, from times your calendar really has free. intoCHAT combines both: your agent knows your services and policies, and when someone is ready, it offers open times from Cal.com or Calendly instead of asking them to look for a booking page.
What changes for your team
Fewer messages about times, and bookings that arrive with the questions already answered.
No more back-and-forth over times
Visitors see open times from your calendar under the agent’s reply and pick one themselves. Nobody on your team has to propose slots by email or on the phone.
Requests outside opening hours get booked
The agent answers whenever someone asks, so an evening or weekend request ends with a booked appointment instead of a message waiting in your inbox.
Questions answered before the booking
Prices, duration, preparation, location and cancellation terms come from the pages and documents you train the agent on, so people book knowing what to expect.
Your calendar stays the source of truth
Times always come from Cal.com or Calendly, never from the AI model. Right before booking, intoCHAT asks your calendar again whether the time is still free.
Bookings show up where your team works
Every booking is listed on the Leads tab, and can send a booking.created webhook and a Slack alert, next to the usual emails from your calendar tool.
The workflow in intoCHAT, step by step
The visitor asks, the agent answers
A visitor asks about a service, a price or availability. The agent answers from your knowledge: your service pages, price list, preparation notes or Q&A pairs you wrote for answers that must be exact.
The agent offers open times when it fits
You describe in “When to offer booking” when the agent should show times, for example when someone wants an appointment or asks when you are available. It then shows a time picker under its reply: up to 5 days and up to 8 times per day, in the visitor’s time zone.
The visitor picks a time and books
They choose a day and a time, enter only their name and email address and click Book. If someone else took that time a moment earlier, they are asked to choose another one and the time disappears from the list.
Confirmation in the chat and from your calendar
A confirmation appears in the chat with the date, time and time zone. Cal.com or Calendly sends its usual confirmation email and calendar invite. If your Cal.com event type needs your approval, the chat says the appointment is requested and still has to be confirmed.
Your team sees the booking
The Bookings list on the Leads tab shows the name, email address, time zone and a link to the conversation. A booking.created webhook can pass it to your own systems, and a Slack alert can tell your team.
Exceptions go to a person
Rescheduling and cancelling happen in Cal.com or Calendly, through their emails. For a request the agent can’t handle, it can pass the conversation to your team by email with hand-off switched on.
Setup checklist and limits
Connect your calendar
On the Actions tab, open the Booking card and paste a Cal.com API key, or a Calendly personal access token with the scopes users:read, event_types:read, availability:read and scheduled_events:write. Booking is available on every intoCHAT plan.
Pick the event type and the moment
Choose the event type visitors book, such as a 30-minute consultation, and write “When to offer booking” in up to 1,000 characters. Left empty, the agent offers booking when someone wants a meeting, call, demo or appointment.
Train the agent on your booking information
Add your service and price pages, preparation notes and cancellation policy as website pages, files or Q&A pairs, so the agent can answer before anyone books.
Test in the Playground, for real
A booking made in the Playground is a real booking: it lands in your calendar, the Bookings list, the webhook and the Slack alert. Cancel test bookings in Cal.com or Calendly afterwards.
Limit: one calendar, one event type
Each agent books one event type from one Cal.com or Calendly account. Google Calendar and other calendars can’t be connected; a custom button can link to another booking page instead.
Limit: website chat only
Booking works in the chat bubble, the inline iframe, the direct link, the Help Page and the Playground. It isn’t offered when your agent answers in Slack or by email, or in temporary chats.
Limit: no sync back from your calendar
Visitors can’t cancel or reschedule from the chat, and changes made in Cal.com or Calendly don’t update the Bookings list or the conversation.
Limit: Calendly needs a paid plan
Calendly only allows booking through its API on Standard and above. Calendly event types with a required booking question, a location the invitee chooses, or a meeting poll can’t be booked from the chat.
Frequently asked questions
What is appointment scheduling automation?
It means customers book appointments themselves, without your team proposing times by phone or email. With intoCHAT, an AI agent on your website answers questions about your services and then shows open times from your Cal.com or Calendly calendar in the chat. The visitor picks a time, enters their name and email, and the appointment is booked in your calendar.
Which calendars can I connect?
Cal.com and Calendly. Google Calendar and other calendars can’t be connected directly. To send visitors to another booking page, add a custom button that links to it. If your booking system has an API, a custom API action can call it, but that is set up and maintained by you.
Which plan do I need, and what does it cost?
Booking is available on every intoCHAT plan, Free included. Free has 25 messages a month, Starter costs $19 a month for 2,500 messages and Pro $49 a month for 10,000. The reply that shows the times counts as a message like any other reply; the booking itself doesn’t use one. With Calendly, you also need a paid Calendly plan.
Can customers reschedule or cancel in the chat?
Not with the built-in booking. Rescheduling and cancelling happen in Cal.com or Calendly, through the links in their emails, and intoCHAT doesn’t sync those changes back. If your own booking system has an API, a procedure can do it: the “Reschedule an appointment” template asks for the booking and the new time and runs your API action after the visitor confirms. Procedures are included from Starter.
I offer several services. Can the agent book all of them?
One agent books one event type. For other services, add custom buttons that link to their booking pages, and the agent shows the right button when the conversation fits. If a request needs more details before anyone can book it, a chat form can collect them in one step.
What if I don’t use an online calendar at all?
Use a chat form as an appointment request. Build a form with up to 20 fields, for example name, phone, a preferred date and a dropdown of services, and the agent shows it when someone wants an appointment. Submissions appear on the Leads tab and can be sent by email, to Slack and to webhooks, and your team confirms the time.
Does booking work when the agent answers by email or in Slack?
No. The time picker can only be shown in the website chat: the chat bubble, the inline iframe, the direct link and the Help Page. By email or in Slack, the agent answers questions but doesn’t offer open times. It also isn’t offered in temporary chats, because a booking always belongs to a saved conversation.
Can the AI make up an appointment time?
No. The agent doesn’t write times into its text and never says an appointment is booked before the visitor books it. Open times come from your calendar, and intoCHAT checks the chosen time again right before booking. If your calendar has nothing free in the days asked for, the agent says so and can look at other days.
Let visitors book while they are still asking
