Lead capture
Chatbot lead capture that asks at the right moment
A short form inside the chat collects an email address, a phone number or both: when the visitor asks, when the agent judges it fits, or when your rules say so. Every new lead lands in your inbox and in one leads table.
Visitor: How much does a bathroom renovation usually cost?
Agent: Most of our complete bathroom renovations cost between €12,000 and €25,000, depending on size, tiles and fittings. Our pricing page shows what each range includes.
Visitor: Ours is 6 m² and we want a walk-in shower. Can you give me an exact quote?
Agent: An exact quote needs a short site visit, so the team prepares it personally. Leave your email or phone number in the form below and they will get in touch.
Visitor: Done, I have put my phone number in the form.
Agent: Thank you, the team has your number. Is there anything else about the renovation I can help with in the meantime?
Interested visitors leave without a trace
A visitor asks three good questions about your prices, gets the answers and closes the tab. Without a way to leave contact details in the conversation, you never learn who they were. A pop-up on page load asks before the visitor has a reason to answer; a form inside a helpful conversation asks when they have one.
Why capture leads inside the chat
The form appears in the conversation, below the agent's answer, not as a pop-up over your page.
Asks when it makes sense
Choose when the form appears: only when the visitor asks, when the agent decides based on your description of a good lead, after a set number of messages, on keywords, or a mix.
Never pushy
The form appears at most three times in one conversation, so a visitor who declines can simply keep chatting.
Email alerts for new leads
Every new lead sends an email to you and up to five more addresses, with the visitor's latest messages for context.
Typed details count too
If a visitor writes an email address or phone number in the chat, intoCHAT saves it as a lead as well.
One list of leads
Filter leads, open the full conversation behind each one, see returning visitors and export everything as CSV.
How to set up lead capture
Turn it on and pick the fields
In the Leads tab, enable lead collection and choose email, phone or both. Write the short message shown with the form.
Choose the trigger
Manual, AI-driven, rule-based or hybrid. For AI, describe what a good lead looks like; for rules, set a message count or keywords such as pricing or quote.
Decide what happens next
After the visitor submits, the agent can continue the conversation, show a thank-you message or tell the visitor your team will take it from here.
Add alert recipients
Send new-lead emails to the account owner and up to five more addresses, and send a test email to check that it arrives.
Lead capture settings
Email and phone fields
Collect an email address, a phone number or both. There are no name or custom fields, which keeps the form to a single step.
Four trigger modes
Manual (the visitor asks), AI-driven with your guidance, rule-based with a message count and keywords, or hybrid.
Your own form message
Write the line shown with the form, for example an offer to send a detailed quote.
After submission
Continue the conversation, show a thank-you message or say that your team will follow up.
Returning visitors
A visitor who submits again is recognized and does not trigger a second alert.
Filters and CSV export
Filter by email or phone and by date, then download the filtered leads as CSV for your CRM or mailing tool.
Frequently asked questions
How does a chatbot capture leads?
The agent answers the visitor's questions and, at the moment your trigger sets, shows a short form below its answer asking for an email address, a phone number or both. If the visitor types contact details into the chat instead, those are captured too. Each lead is saved with a link to its conversation.
Can I collect a name or custom fields?
No. The form collects an email address, a phone number or both. If you need more detail, it is usually in the conversation itself, and every lead links to the full transcript.
Does it sync leads to my CRM?
There is no direct CRM integration. Export your leads as a CSV file and import them into your CRM or mailing tool; email alerts let your team follow up in the meantime.
Will the form annoy visitors?
The form appears at most three times in one conversation, and with the manual trigger only when the visitor asks to be contacted. It sits below the agent's answer inside the chat, not as a pop-up over your page.
Can someone from my team take over the chat after a lead comes in?
No, intoCHAT has no live chat or human handoff. The alert email contains the contact details and the visitor's latest messages, so your team can follow up by email or phone.
What visitor data does lead capture store?
Lead capture stores only the contact details the visitor chooses to share, together with the conversation they belong to. You decide whether the form is shown and which of the two fields it asks for.
