AI chatbot for schools and universities

Prospective students and parents ask about courses, entry requirements, fees and deadlines. An agent trained on your course pages, prospectus and regulations answers them and points applicants to your own application system.

A prospective student asking about a course

Visitor: What do I need to apply for the BSc in Nursing?

Agent: You need a school-leaving certificate with at least a B in biology, a personal statement and two references. If English is not your first language, you also need an IELTS score of 6.5 or higher. The full list is on the Nursing course page.

Visitor: When is the deadline for the September intake?

Agent: Applications for the September intake close on 15 January. Late applications are only considered if places remain. You apply through our online application portal.

Visitor: I already did a year at another university. Can that count towards the degree?

Agent: Credit transfers are assessed case by case by the admissions team. If you leave your email address, they will contact you to go through your transcripts.

Admissions teams answer the same questions every intake

Before every intake, admissions offices, school secretaries and course coordinators get the same emails: when is the deadline, which documents do I need, how much does it cost, is there an online option. The answers are usually spread across course pages, PDFs and FAQ pages that are hard to search. Prospective students who cannot find an answer quickly often move on to the next school.

How an AI agent helps your admissions office

  • Answers from scattered information

The agent searches your course pages, prospectus and policy PDFs together, so applicants don't need to know where something is published.

  • Help outside office hours

Questions asked in the evening, at weekends or during holidays get an answer straight away.

  • Replies in the applicant's language

International applicants can ask in their own language and get the answer in that language.

  • Enquiries you can follow up

When someone asks about an open day or wants advice on a course, the lead form collects their email address or phone number for your team.

  • Applicants sent to the right place

The agent links to your application or enrollment page, so applications still run through your own system.

How to set it up

  1. Add your course and admissions content

Crawl your website and choose the pages on courses, admissions, fees and campus life. Upload your prospectus, fee tables or exam regulations as PDF, Word or Excel files.

  2. Fix exact answers for deadlines

Add Q&A pairs for dates and fees that must be worded exactly. Star important sources, such as the current fee table, so they rank higher.

  3. Write the instructions

Tell the agent who it is talking to, which page to link for applications, and to refer individual cases, such as credit transfers, to the admissions team.

  4. Publish on your website

Test the agent in the Playground, then add it to your admissions pages with one script tag, the WordPress plugin or an inline iframe.

What intoCHAT gives your school or university

  • Prospectus and regulations

Upload PDF, Word, PowerPoint, Excel, ODT or EPUB files. The agent reads them alongside your web pages.

  • Website crawl with exclusions

Choose which pages to read and exclude paths such as news archives or event calendars with patterns.

  • Source priority

Star this year's fee table or admissions guide so it ranks above older pages, without retraining.

  • Lead capture

Collect an email address or phone number when visitors ask about open days or advice, with rules based on keywords or message count.

  • Suggested questions

Show clickable questions such as application deadlines or fees, so visitors see what they can ask.

  • Chat logs and dashboard

See how many conversations and leads you get, and read transcripts to find gaps on your website.

Frequently asked questions

Can students enrol through the chatbot?

No. intoCHAT does not process applications or enrollments. The agent answers questions and links to your application or enrollment page. If your student system has an API, you can add a custom API action, for example to look up whether a course still has places.

How do we keep deadlines and fees up to date?

Retraining is manual. When you publish new dates or fees, retrain the affected page or file, or edit the Q&A pair. Starring the current documents makes them rank higher than older ones.

Can it answer questions from parents and international applicants?

Yes. The agent answers anyone who visits your website, in the language they write in. You can adjust the tone in the instructions, for example so it explains terms parents may not know.

Will the chatbot give advice on individual cases?

Only if you let it. Most schools instruct the agent to give published information and refer individual cases, such as credit transfers or special circumstances, to the admissions team. The lead form collects contact details so staff can follow up.

What should we train an education chatbot on?

Start with course pages, entry requirements, fees and funding, key dates, campus and accommodation pages, and your FAQ. Add the prospectus and regulations as files, and Q&A pairs for the questions you get most often.

Which plan fits a school or university?

The Free plan lets you try one agent with 25 messages per month. Starter costs $19 per month for 3 agents and 2,500 messages, and Pro costs $49 per month for 10 agents and 10,000 messages. Larger institutions can ask about Enterprise.
