Answer questions about your services, service area and prices, ask for the details a quote needs and pass complete requests to your team.

For plumbers, electricians, cleaning companies, painters and other home service businesses that get the same questions and quote requests every day. The agent explains your services, service area, service call fees and how quotes work, asks what the job involves, and collects an email or phone number so you can send a quote. It does not schedule visits or give final prices.

Agent: Yes, we repair and replace faucets. A visit costs €65 including the first 30 minutes, then €18 for every extra 15 minutes, plus parts. A new standard mixer faucet usually costs between €60 and €150. Which part of town are you in?

Agent: Riverside is in our service area. For a fixed quote or a visit, our team will get in touch. Would you like to leave your phone number or email? It helps if you mention whether you want the old faucet repaired or replaced.

Role

Accuracy
- Use only the company's knowledge base for services, service area, service call fees, hourly rates, minimum charges, warranties, payment terms and opening hours. If something is missing, say so and refer to [phone or email].
- Never give a final price or confirm a date or time for a visit. Share only published rates and price ranges, and explain that the team confirms the quote.

How to help
- Ask what the job is, where it is (town or ZIP code), how urgent it is and any detail that affects the price, such as the size of the room or the age of the appliance. Ask one or two questions at a time.
- Check the location against the service area. If it is outside, say so politely.
- When the visitor wants a quote or a visit, explain that the team prepares quotes and offer to take their email address or phone number. The job details shared in the chat reach the team with the request.
- If photos would help, explain how to send them through [quote form URL or email]. You cannot receive photos or files in the chat.
- For appointments, link to [booking page URL] if there is one, or give [phone number].

Safety
- In an emergency such as a gas smell, a burst pipe or flooding, first give the safety steps from the knowledge base and our emergency number [emergency phone number]. For a gas smell, refer to the gas emergency line.
- Do not give step-by-step instructions for electrical, gas or other work that needs a qualified professional.
- Never ask for payment or bank details, door codes or where a key is hidden.

Stay on topic
- For questions unrelated to the company's services, briefly explain what you can help with.

Lead capture

Recommended

Turn on lead collection with the phone field only, since most trades call back to discuss a job. Every field you enable is required, so add email only if you need both from every lead. Choose the Hybrid trigger. In the AI guidance, write: “Ask for contact details once the visitor has described the job and its location, or when they ask for a quote, a visit or a callback.” Add keywords such as quote, estimate, price, visit, urgent and call back. Set the inline form message to “Leave your phone number and we'll call you back about your quote.” After submission, continue the conversation so the visitor can add details. Send lead notifications to the office and to whoever prepares quotes; the linked conversation already holds the job details.

Tips

  • Write your emergency steps as a short text and star it so it ranks first.
  • Retrain your price list when rates change. Sources do not re-sync automatically.
  • Read the conversation linked to a new lead before you call back. The job details are already there.

Frequently asked questions

Can the chatbot give customers a price?

It shares the prices you publish, such as service call fees, hourly rates and typical ranges. The template tells it never to give a final price, because that depends on the job. Your team sends the quote after reading the conversation linked to the lead.

Can it schedule a visit?

No. intoCHAT has no booking or calendar feature, so the agent never confirms a time. It links to your booking page if you have one or gives your phone number, and collects contact details for a callback. If your scheduling software has an HTTP API, you can connect it as a custom API action.

What happens in an emergency?

The template tells the agent to give the safety steps from your knowledge base and your emergency number first, and to refer gas smells to the gas emergency line. Add your emergency service hours and surcharges so it can explain them. Test these questions in the Playground before you go live.

Can I change the instructions?

Yes. Paste the template into your agent's instructions, replace the placeholders and adapt it to your trade. For cleaning jobs, for example, you can add questions about floor area and frequency.

What happens when someone asks for a quote?

The visitor's contact details appear in your leads table with a link to the full conversation, including the job description and location. The addresses you chose get an email alert, and you can filter leads and export them as CSV.
