How to move from Chatbase to intoCHAT, step by step

intoCHAT has no importer for Chatbase: it can't read a Chatbase account or a Chatbase export as a whole. What makes a move quick is that Chatbase exports Q&A pairs as an Excel file, files as plain text and text snippets as Markdown, and intoCHAT reads all three. The rest you set up again, which is also a good moment to clean up old sources.

Before you start: export what Chatbase lets you export

Do this while your Chatbase plan is still active. In Chatbase's source list, select the sources and click Export. According to Chatbase's data sources docs, Q&A pairs come out as one .xlsx file, files as .txt files with the extracted text (not the original documents), and text snippets as one .md file each. Several sources arrive as a .zip archive. You can select up to 50 sources per export, and an export is capped at 200 MB. Website, Notion and ticket sources can't be exported.

Also export your leads from Activity, Leads in Chatbase: its docs say leads can be exported as CSV or PDF, with a column for each custom field. Take the CSV. If you want to keep your chat history, Chatbase's command line tool can export every conversation as JSON. intoCHAT can't import conversations, so treat that file as your archive.

Unzip the archives on your computer: intoCHAT uploads files one by one and doesn't open .zip files.

Step 1: Create the agent and crawl your website

Sign up and create an agent. The quickest start is Start from your website in the create-agent dialog, which reads your homepage and up to 4 key pages and trains the agent for you. Then add the rest of the site: on the Knowledge tab, choose Website under Add knowledge, enter your address and click Find pages.

intoCHAT reads your sitemap and the links on your site, lists up to about 500 pages grouped by folder, and lets you tick the ones to add. Use Exclude URLs containing to skip paths such as /blog or /careers. Click Train agent when the pages are added. Scanning is free; adding pages uses one crawl for about 600 pages. Starter includes 9 crawls a month and Pro 20.

To keep the agent current, switch on Auto-resync on the Knowledge tab: daily or weekly, intoCHAT re-reads your pages and retrains only those that changed. Chatbase offers weekly auto-resync on its Standard and Pro plans; on intoCHAT it is available on every plan, and each run that reads website pages uses one crawl for up to 30 pages.

  • Check the size: crawled text counts toward the agent's character limit, 100K on Free, 500K on Starter and 1M on Pro. Chatbase measures training content in megabytes instead; a megabyte of plain English text is roughly a million characters.
  • If your site blocks crawlers, the website crawl docs explain how to let the crawler in, or you can save pages as PDF and upload them.

Step 2: Upload files and text snippets

On the Knowledge tab, choose Files and drop in your documents. If you still have the originals, upload those: intoCHAT reads PDF, Word, PowerPoint, Excel, OpenDocument, RTF, EPUB, CSV, TXT and Markdown, up to 50 MB per file, and keeps headings, lists and tables. Otherwise upload the .txt files from the Chatbase export.

The .md files from the export are your text snippets, and intoCHAT reads Markdown as it is, so upload them the same way. Each file becomes its own source, named after the file, so give them descriptive names. For one or two short snippets, you can also paste the text under Text with a title.

Scanned PDFs without a text layer can't be read, as intoCHAT has no OCR. Run OCR first or paste the text.

Step 3: Reconnect Notion and Google Drive

Chatbase's Notion sources can't be exported, so connect Notion again in intoCHAT: choose Notion under Add knowledge, click Connect Notion, pick the pages on Notion's screen and import up to 25 pages at a time. Subpages aren't included automatically, so select them as pages of their own. intoCHAT only reads; it never changes anything in Notion.

If your documents live in Google Drive, you don't need to download and upload them. Choose Drive under Add knowledge, connect your Google account and pick up to 10 files at a time: Google Docs, Sheets, Slides, PDF, Word, text and Markdown. intoCHAT can open only the files you pick. Chatbase's data sources docs don't list Google Drive, so this may save you a step you used to do by hand.

If Chatbase learned from Zendesk tickets, intoCHAT can import solved Zendesk or Freshdesk tickets as questions and answers from the Starter plan, after you connect the helpdesk in the Setup tab. Salesforce tickets can't be imported.

Step 4: Import your Q&A pairs

Choose Q&A under Add knowledge, then Import file under Many pairs at once, and pick the .xlsx file from Chatbase. intoCHAT reads CSV, XLSX, XLSM and ODS files up to 4 MB and up to 1,000 rows per file. It recognizes header rows such as question and answer; without a header, column A is read as questions and column B as answers. If the preview doesn't find your columns, rename the headings to question and answer in a spreadsheet app and import again.

Nothing is saved until you check the preview, which counts new pairs, updates and skipped rows with the reason, such as a missing answer or a question longer than 200 characters. Click the import button and training starts right away.

Afterwards you can add up to 5 other phrasings to each pair. Q&A pairs rank above pages and files when they match a question closely, so they are the right place for prices, policies and anything that must be answered one way.

Step 5: Instructions, guardrails, model and look

In Chatbase, your prompt is under Build, Instructions, split into general instructions and guardrails instructions. In intoCHAT, open the agent's Setup tab and paste the general part into Instructions, which needs at least 100 characters. Paste the guardrails into Guardrails, one rule per line, up to 4,000 characters. intoCHAT sends guardrails as a separate block the agent follows even when a visitor pushes back.

Two settings work differently. intoCHAT has no temperature setting. The default model is GPT-6 Luna, and from the Starter plan you can choose each agent's model from OpenAI, Anthropic or Google. Chatbase also offers models from other providers, such as xAI, DeepSeek and Meta, which intoCHAT doesn't.

Then open the Appearance tab. Detect branding reads your homepage and proposes your logo and colors. Copy your welcome message (up to 4 bubbles) and suggested questions (up to 6, or in titled groups). Removing “Powered by intoCHAT” is included on every paid plan.

Step 6: Rebuild your actions

Actions don't carry over. Most Chatbase actions have an intoCHAT counterpart you set up in a few minutes; a few don't. Custom API actions are the most work: open each one in Chatbase, then in intoCHAT click Import a request on the Actions tab and paste the request as a cURL command, which fills in the method, URL, headers and body. Up to 25 actions per agent.

Step 7: Bring over your leads

intoCHAT can't add old leads to its Collected Leads list, which only holds leads captured in intoCHAT chats. You can import them as contacts instead: on the Leads tab, under Contacts, click Import CSV and choose the CSV file from Chatbase, up to 5 MB and 10,000 rows.

Name the columns email, phone and name before you import; other columns become custom attributes. A row needs an email address to be imported, so rows with only a phone number are skipped. The preview shows what will be created and skipped before anything is saved. Each agent holds up to 100 contacts on Free, 5,000 on Starter and 25,000 on Pro.

To send future leads to your CRM, add a webhook on the Leads tab, and set who gets an email alert for each new lead.

Step 8: Test, swap the embed code and go live

Ask the Playground the questions your customers ask most, ideally the same ones you see in your Chatbase history, and compare. Where an answer is missing or off, add a Q&A pair or fix the source. After launch, Questions to improve on the Knowledge tab lists the questions your agent struggled with each day.

Then swap the widget. Remove the Chatbase script from your site, which Chatbase's docs place in the head or before the closing body tag, and remove its WordPress plugin or Shopify app if you used one. Copy the intoCHAT script tag from the Share tab and paste it before the closing body tag, or use the intoCHAT WordPress plugin or the Shopify theme snippet. Set Allowed domains on the Share tab so only your sites can show the agent.

If you used Chatbase's identity verification, set up intoCHAT's identity verification with your agent's own secret; the signing code on your server changes. Cancel Chatbase only once the new widget runs on every page and you have the exports you want to keep.

What you have to rebuild by hand

To be clear about where there is no shortcut:

  • No importer for a Chatbase account: intoCHAT can't connect to Chatbase or read its whole export.
  • Website and Notion sources: crawl and reconnect, because Chatbase can't export them.
  • Actions: set up again; custom API actions can start from a cURL command.
  • Conversations and analytics: they stay in Chatbase. Keep the JSON export if you need them.
  • Leads: imported as contacts, not into the Collected Leads list.
  • Channels intoCHAT doesn't offer: WhatsApp, Messenger, Instagram and phone. If your Chatbase agent answers there, it can't move. intoCHAT runs on your website, and on Starter and up also in Slack and by email.

Frequently asked questions

Can intoCHAT import my Chatbase agent automatically?

No. There is no Chatbase importer. Chatbase exports Q&A pairs as an Excel file, files as text and text snippets as Markdown, and intoCHAT can import all three; website and Notion sources, actions and settings are set up again.

How long does the move take?

For a typical small business agent, about one working session: crawling the site and importing Q&A take minutes, and most of the time goes into rebuilding actions and testing answers. Plan a few days of side-by-side testing before you swap the embed code.

Will my Chatbase Q&A spreadsheet import as it is?

intoCHAT reads .xlsx files and recognizes header rows such as question and answer, or reads column A as questions and B as answers when there is no header. If the preview doesn't find your columns, rename the headings and import again. Up to 1,000 rows per file.

Can I keep my conversation history?

Not in intoCHAT: it can't import conversations. Chatbase's command line tool can export every conversation as JSON, so keep that file as an archive before you cancel.

What happens to my leads?

Export them from Chatbase as CSV and import the file into intoCHAT's Contacts with columns named email, phone and name. They become contacts with their custom fields as attributes, but they don't appear in the Collected Leads list.

Can I run Chatbase and intoCHAT side by side?

Yes. Build and test the intoCHAT agent in the Playground or on a share link while Chatbase stays on your site, then swap the embed code. intoCHAT's Free plan needs no card, and Starter and Pro come with a 7-day free trial.

Is this guide affiliated with Chatbase?
