Lead Capture

Last updated:

What lead capture is

A lead is a person who has shown interest and shared a way to reach them. Lead capture is the moment that information is recorded. Classic methods include contact forms, newsletter sign-ups, gated downloads and demo requests. Each asks the visitor for something, usually an email address, in exchange for something useful, such as an answer, a quote or a call back.

How lead capture works in a chat

A chatbot can capture leads in two ways: it shows a short form inside the conversation, or it picks up contact details the visitor types into a message. Timing matters. Asking for an email before helping feels like a barrier, while asking after a useful answer, or when the visitor signals buying interest, feels like a natural next step.

Good practice is to ask only for what you need, say why you are asking and make clear how the data will be used.

Example

A visitor asks a roofing company's chatbot whether it covers their town and roughly what an inspection costs. The bot answers both from the company's pages. Because the visitor described a specific job, the bot offers a call back and shows a form for a phone number. The visitor submits it, and the team gets an email alert. The lead arrives with the conversation as context, so the call can start where the chat ended.

Lead capture in intoCHAT

intoCHAT has a lead form built into the chat:

  • The form collects an email address, a phone number or both.
  • Triggers: manual (when the visitor asks to be contacted), AI (the agent decides, based on your description of a good lead), rules (after a set number of messages or on keywords) or hybrid.
  • The form appears at most three times per conversation. After submitting, the visitor keeps chatting, sees a thank-you message or is told the team will take it from here.
  • An email or phone number the visitor types into the chat is captured too.
  • Each new lead sends an email alert to the owner and up to 5 more addresses. The leads table has filters, CSV export, a link to each conversation and recognizes returning visitors.

Frequently asked questions

What information should a chatbot ask for?

Only what you need to follow up, usually an email address or a phone number. Every extra field lowers the chance that people complete the form. You can ask for more details later in the conversation or during the follow-up.

When should a chatbot ask for contact details?

Usually after it has given a useful answer, or when the visitor shows clear interest, for example by asking about prices or availability. Asking at the very start can put people off before they have seen any value.

Is chatbot lead capture relevant under the GDPR?

Yes. Email addresses and phone numbers are personal data, so in the EU you need a lawful basis, a clear privacy notice and secure handling. This is general information, not legal advice.

What contact details can intoCHAT collect?

The intoCHAT lead form collects an email address, a phone number or both, without name or custom fields. It also captures an email or phone number the visitor types into the chat. New leads appear in the leads table and trigger an email alert.
