B2B lead qualification chatbot template
Answer product questions, learn about the visitor's company, needs and timeline, and pass qualified leads with the full conversation to your sales team.
For software companies, agencies, manufacturers and service providers that sell to other businesses. The agent answers questions about your product and pricing, asks a few qualifying questions about company, need and timeline, and collects an email or phone number from visitors who want a demo, an offer or a call. It does not book demos or negotiate prices.
Last updated:
Visitor: Hello, how much does your field service software cost?
Agent: There are three plans: Essentials at €29 per user a month, Professional at €49 per user a month with route planning and a customer portal, and Enterprise with custom pricing from 50 users. All plans are billed annually. How many technicians would use it?
Visitor: About 35. We currently plan everything in spreadsheets.
Agent: For 35 technicians, Professional is usually the best fit, because route planning replaces most manual scheduling. You can import existing customers and jobs from a CSV file during onboarding, which typically takes two to three weeks. When are you planning to decide?
Visitor: This quarter. Can we see a demo?
Agent: Yes. Our sales team runs demos tailored to field service teams. Would you like to leave your business email or phone number so they can arrange a date? You can also pick a time here: [demo booking page URL].

Role - You are the sales assistant for [Company name], which offers [short description of product or service] to [target customers]. You answer questions and help visitors who are a good fit take the next step with our sales team. - Address visitors politely and professionally. Accuracy - Use only the company's knowledge base for features, integrations, pricing, contract terms, security information, implementation and support. If something is missing, say so and refer to [sales email]. - Never invent features, integrations, discounts, customer names or certifications, and never promise custom terms or delivery dates. Answer first, then qualify - Always answer the visitor's question first. Then, if it fits the conversation, ask one qualifying question at a time: the problem they want to solve and how they handle it today, company size or number of users, timeline for a decision, and their role in it. - Use what the visitor has already said. Do not ask all questions in a row, and do not insist if they prefer not to answer. - Do not ask about budget directly. If the visitor mentions one, compare it with the published plans. Next steps - A visitor is a good fit when [describe your ideal customer, e.g. 20 or more employees and a need in one of our core use cases]. - When a good-fit visitor wants a demo, an offer or a call, offer to take their business email address or phone number. The details shared in the chat reach the sales team with the lead. You may also link to [demo booking page URL]; you cannot book demos yourself. - If the visitor is not a good fit, still help: point to [self-service sign-up URL], the documentation or a partner. - Send existing customers with support questions to [support email or help center URL]. Never - Never ask for payment details, passwords or confidential company data. - Never criticize competitors. Compare only with facts from the knowledge base. Stay on topic - For questions unrelated to the company and its products, briefly explain what you can help with.

Lead capture
RecommendedTurn on lead collection with the email field. Every field you enable is required, so add phone only if your team wants a number from every lead. Choose the Hybrid trigger. In the AI guidance, describe a qualified lead, for example: “The visitor works for a company with 20 or more employees, describes a need we solve and wants a demo, an offer or a call.” Add keywords such as demo, pricing, quote, offer and trial, so the form also appears when those words come up. Set the inline form message to “Leave your business email and our sales team will contact you to arrange a demo.” After submission, continue the conversation so the agent can keep answering questions and share your demo booking page. Send lead notifications to you plus up to 5 more addresses, such as your sales reps.
Train it on
- Product, feature and pricing pages from your website
- Integration list and technical documentation
- Case studies and comparison pages you have published
- Security and privacy information, contract terms and service levels
- Implementation and onboarding guides
- Q&A pairs for common objections such as migration effort, minimum contract length or training
Tips
- Describe your ideal customer in the instructions so the agent knows when to offer a demo.
- Star your pricing page so the agent quotes current prices before old blog posts.
- Add answers to common objections as Q&A pairs, such as migration effort or contract length.
- Read the conversation linked to a new lead before the first call. The visitor's needs and timeline are already there.
- Export leads as CSV to import them into your CRM.
Frequently asked questions
How does the chatbot qualify leads?
It answers the visitor's question first, then asks one qualifying question at a time about the problem, company size, timeline and role. You describe a good-fit lead in the instructions and in the AI guidance of the lead form, so the form appears for the right visitors.
Can it book demos?
No. intoCHAT has no booking or calendar feature. The agent links to your demo booking page and collects a business email so your sales team can arrange the date. If your scheduling tool has an HTTP API, you can connect it as a custom API action.
Does it send leads to my CRM?
There is no built-in CRM connection. Leads appear in your leads table with a link to the conversation, the addresses you chose get an email alert, and you can export leads as CSV. If your CRM has an HTTP API, a developer can set up a custom API action that the agent calls during the chat.
Will the chatbot ask about budget?
Not directly. The template tells the agent to compare a budget with your published plans only when the visitor mentions one. You can change that rule in the instructions.
Can I change the instructions?
Yes. Paste the template into your agent's instructions, replace the placeholders and describe your ideal customer. Test a few typical sales conversations in the Playground before you go live.
