Zapier integration

Connect your intoCHAT agent to the apps you already use, with Zapier

intoCHAT has its own app in Zapier's directory. Start a Zap the moment a visitor leaves their details, sends a form, books a meeting or asks for a person, and let a Zap message your agent or teach it a new answer.

What the intoCHAT app for Zapier does

Zapier connects thousands of apps without code. With the intoCHAT app, your agent becomes one of them: a new lead can land in your CRM or a Google Sheet, a hand-off can open a task in your project tool, a booking can post to a team channel, all within seconds of it happening in the chat. The app has seven triggers, three actions and one search. Six triggers are instant: when you turn a Zap on, intoCHAT adds a webhook for it on the agent, and sends each event as it happens. You see that webhook on the agent's Leads tab, marked via Zapier, with its recent deliveries. New Conversation is the one polling trigger, so it runs on your Zapier plan's schedule. The actions work the other way round. Send Message to Agent asks your agent a question and returns its reply, for example to draft an answer to an email from your knowledge. Add Q&A Pair and Add Text Snippet add knowledge and start training, so a change in a Google Doc or a form can reach the agent without opening the dashboard. You connect with an intoCHAT API key, which you create under Settings, API keys. The API is included on Starter, Pro and Enterprise, so the app needs one of those plans. Find intoCHAT in Zapier at https://zapier.com/apps/intochat/integrations.

Set up your first Zap with intoCHAT

  1. Create an API key in intoCHAT

    In intoCHAT, under Settings, click API keys. Name the key, for example Zapier, keep Every scope, including ones added later, click Create key and copy it. It starts with ic_live_ and is shown once.

  2. Pick an intoCHAT trigger in Zapier

    Create a Zap, search for intoCHAT as the trigger app and choose an event, such as New Lead. Connect a new account and paste the API key.

  3. Choose the agent

    Pick the Agent the trigger watches. The list shows every agent in your account; to watch two agents, use two Zaps.

  4. Test the trigger

    Zapier loads up to three of the agent's latest real events. If there are none yet, it shows an example with the same fields, so you can map them anyway.

  5. Add your action and turn the Zap on

    Map the fields into the next app, for example a new row in Google Sheets or a contact in your CRM, and publish the Zap. intoCHAT adds the webhook for it on the agent's Leads tab.

What a New Lead trigger sends to Zapier

{
  "leadId": "sample_lead",
  "agentId": "AGENT_ID",
  "agentName": "Acme Assistant",
  "email": "jane@example.com",
  "phone": "+41 44 123 45 67",
  "name": "Jane Doe",
  "customFields": [
    { "id": "company", "label": "Company", "value": "Acme Inc." }
  ],
  "source": "form",
  "conversationId": "sample_conversation",
  "collectedAt": "2026-10-07T09:30:00.000Z"
}

Each field is available to map in the next step. Every trigger's fields are listed in the webhooks documentation.

Triggers, actions and search

  • New Lead

    Starts when a visitor leaves their contact details, in the lead form or in the chat. Sends the name, email, phone, custom fields and a conversation ID.

  • New Form Submission, New Booking, New Return Request

    Start when a visitor sends a chat form, books a meeting through Cal.com or Calendly, or asks to return items of a verified order.

  • Hand-Off Requested, Live Chat Requested

    Start when the agent emails a conversation to your team, or asks your team to join a chat. Use them to open a task or ping whoever is on call.

  • New Conversation and Find Conversation

    New Conversation checks for new chats on your Zapier schedule. Find Conversation reads a whole transcript by its ID, for example after a lead trigger.

  • Send Message to Agent

    Sends a message and returns the agent's reply and the conversation ID. Give a Session ID, such as an email address, to continue the same conversation.

  • Add Q&A Pair, Add Text Snippet

    Add knowledge to the agent and start training. A question the agent already has gets the new answer.

What the app doesn't do

  • It needs Starter or higher: on Free you can't create the API key it connects with.
  • It doesn't create agents or change their settings or instructions; do that in the dashboard.
  • Triggers don't fire for later changes, such as a cancelled booking or a handled return request.
  • An agent can have up to 25 webhooks from integrations, apart from the 5 you add yourself.
  • The Make app isn't published yet. Until it is, use Make's webhook step with an intoCHAT webhook.

Frequently asked questions

Is intoCHAT in Zapier's app directory?

Yes. Search for intoCHAT when you pick a trigger or action app in Zapier, or open the app at zapier.com/apps/intochat/integrations.

Which intoCHAT plan do I need?

Starter, Pro or Enterprise. The app uses the REST API, which starts on Starter. If your account moves back to Free, its Zaps stop until it is on Starter or higher again.

Does the Zapier app use my intoCHAT messages?

Only Send Message to Agent does: each reply counts like a reply in the chat widget, one message with the default model and more with a larger one. Triggers, the search and the knowledge actions use no messages.

How fast do triggers fire?

The six instant triggers fire within seconds, the same way a webhook does. New Conversation has no webhook, so Zapier checks for new conversations on its own schedule, which depends on your Zapier plan.

Can I send intoCHAT leads to HubSpot, Salesforce or Pipedrive with Zapier?

Yes. Use New Lead as the trigger and your CRM's create or update contact action as the next step. intoCHAT has no direct CRM sync of its own, so Zapier is the simplest way to get there.

Do I need the app, or can I use a webhook?

Either works. The app sets up and removes the webhook for you, gives you sample data and adds the actions and search. A plain webhook to Zapier's Webhooks by Zapier step still works, and you can verify its signature yourself on your own server.

Which scopes does the API key need?

A key with Every scope covers everything. To limit it: agents:read to connect, webhooks:write for instant triggers, leads:read and conversations:read for samples, New Conversation and Find Conversation, chat for Send Message to Agent, and sources:write for the knowledge actions.

How do I stop a Zap from receiving events?

Turn the Zap off: Zapier removes its webhook from the agent. Revoking the API key in intoCHAT also deletes every webhook that key created, and the Zaps stop getting events until you reconnect with a new key.
