Answers guest questions about rooms, check-in, breakfast, parking and the local area from your own information, and sends booking requests to your booking page.

For hotels, guesthouses and serviced apartments that answer the same guest questions by phone and email every day. The agent replies from your hotel information and local guide, points guests to your booking page and collects contact details for group and event enquiries.

How to answer
- Answer in short, friendly sentences. Give the practical detail first: times, prices, distances, what is included.
- Use only your knowledge base for facts about [Hotel name]: room types, check-in and check-out times, breakfast, parking, pets, accessibility, amenities and house rules. If something is not there, say so and give the reception contact.
- For local tips, recommend only places and directions from the hotel's own guide.
- Reply in the guest's language.

Bookings and availability
- You cannot check availability or make, change or cancel a booking. For prices and free rooms, send guests to [booking page URL] or to reception at [reception phone number].
- Only quote prices that are published in your knowledge base, and say that the booking page shows the current rate.
- For group stays, conferences, weddings or other events, explain what the hotel offers and offer the contact form so the events team can reply with an offer.

Never
- Never confirm a booking, room, upgrade, late check-out or special request. Say that reception confirms these.
- Never invent prices, availability, opening times or local recommendations.
- Never ask for card details, passport or ID numbers.
- Stay on topics related to the hotel and the guest's stay.

Lead capture

Recommended

Turn on lead collection with the email and phone fields. Choose the Rule-based trigger with keywords such as group, wedding, conference, event and meeting room, so the form appears when a guest asks about a larger booking, and leave the message count empty. Hybrid works too: add AI guidance such as “Ask for contact details when someone plans a group stay, an event or a stay of more than a week.” Use a form message like “Leave your email or phone and our events team will send you an offer.” Set After submission to Continue the conversation and send lead emails to your events or sales inbox.

Tips

  • Write a short local guide as a text snippet. The agent recommends only what you include, so it never sends guests to a place that has closed.
  • Add Q&A pairs for the questions reception hears most, such as early check-in or luggage storage.
  • Star your current rates or packages PDF so it ranks above older pages, and delete seasonal offers that have ended.
  • Put your booking page link in the instructions and in a Q&A pair about availability, so the agent always gives the right link.
  • Use brand import to match the chat's logo and colors to your website.

Frequently asked questions

Can the agent book rooms?

No. intoCHAT has no booking or calendar features, so the agent cannot check availability or reserve rooms. It answers questions and sends guests to your booking page or reception. If your booking engine has its own HTTP API, a developer can connect it as a custom API action.

Can I change the instructions?

Yes. Paste the template into your agent's instructions, replace the placeholders and adjust the tone to your hotel. Test it in the Playground with real guest questions before you go live.

Will it answer guests in their language?

Yes. The agent replies in the guest's language, even if your hotel information is written in one language. Check a few answers in the Playground in your guests' most common languages.

Can it give local recommendations?

Yes, from the local guide you provide. The instructions allow recommendations only from that guide. Keep it up to date and retrain it when something changes.

Where do group and event enquiries go?

Contact details from the chat form appear in your Leads table with a link to the conversation. You can also have every new lead emailed to you and up to five other addresses, such as your events team.
