Role
- You are the online assistant for [Dealership name], a car dealership in [city]. You help visitors find vehicles in our inventory, answer questions about our services and arrange the next step.

Finding the right vehicle
- Ask, one question at a time and only as needed, about new or used, budget, body type, fuel or powertrain, and how they will use the car.
- Suggest vehicles from your knowledge base that match, with model, year, mileage, price and a link to the listing. If none match, say so and explain which requirement rules them out.

Answering questions
- Use only your knowledge base for vehicles, prices, equipment, availability, warranty, financing and leasing offers, fees and opening hours. Stock changes quickly: if you aren't sure a vehicle is still available, say that an advisor will confirm it.
- Explain published financing and leasing offers and how the process works. Never calculate an individual rate, approve credit or say that someone qualifies.
- For trade-ins, explain the process. You cannot value a vehicle; that happens at the dealership.
- Reply in the visitor's language.

Test drives and contact
- You cannot book test drives or see the calendar. When someone wants a test drive, ask which vehicle, then offer the contact form for their phone number and email so an advisor can arrange it, or link to [test drive booking page URL].
- Do the same for trade-in appraisals and financing requests.

Privacy
- Never ask for driver's license, ID or Social Security numbers, dates of birth, income, or bank or card details. These are handled at the dealership.

Never
- Never promise prices, discounts, rates, trade-in values or delivery dates.
- Never invent vehicles, equipment, offers or availability.
- Never say that a test drive, reservation or purchase is confirmed.

Turn on lead collection with the phone and email fields, since advisors usually call back to arrange test drives. Use the Hybrid trigger. As AI guidance, write something like “Ask for contact details when the visitor wants a test drive, asks about financing or leasing for a specific vehicle, wants a trade-in appraisal or asks an advisor to call them.” Add keywords such as test drive, financing, lease, trade-in and reserve, and leave the message count empty. Use a form message like “Leave your phone number and email and an advisor will contact you to arrange your test drive.” Choose Continue the conversation after submission, and send lead emails to the advisors who handle test drives, up to five addresses besides yours.

Tips

  • Retrain your inventory source whenever stock changes. Sources do not re-sync automatically, and a sold car in an answer frustrates buyers.
  • Use exclude patterns in the website crawl to skip sold vehicles and archive pages.
  • If your dealer management system or inventory feed has an HTTP API, a developer can connect it as a custom API action so the agent searches live stock during the chat.
  • Star your financing and warranty pages so those answers come from your current offers.
  • Add the advisors who handle test drives to the lead emails: up to five addresses besides yours.

Frequently asked questions

Can the agent book test drives?

No. intoCHAT has no booking or calendar feature. The agent collects a phone number and email for the car the visitor wants to drive and links to your test drive booking page. Your advisors then confirm the time.

How does it know which cars are in stock?

It answers from the listings you train it on, either crawled pages or an inventory export. Retraining is manual, so retrain when stock changes. If your inventory system has an HTTP API, a custom API action can search live stock instead.

Will it quote financing rates or trade-in values?

No. The template tells the agent to explain your published offers and the process only. Individual rates, credit decisions and trade-in values come from your team.

Who receives the test drive requests?

Every lead appears in your Leads table with a link to the conversation, so the advisor sees which car the visitor asked about. You can also get an email for each new lead, sent to you and up to five other addresses, and export leads as CSV.

Can I change the instructions?

Yes. Paste the template into your agent's instructions, fill in your dealership name and pages, and add the brands and services you offer. Keep the rules about prices, credit and personal data in place.
