Event venue chatbot template
Answer questions about your spaces, capacities, catering and house rules, and pass complete event enquiries to your events team.
For wedding venues, conference centers, restaurants with private rooms and other event spaces. The agent explains your rooms, capacities, packages and rules, asks for the date, guest count and type of event, and collects an email or phone number so your team can send a proposal. It cannot see your calendar, so it never confirms that a date is free.
Last updated:
Visitor: We're planning a wedding for about 120 guests next June. Do you have space?
Agent: The Garden Hall seats up to 140 guests for dinner and holds 200 for a standing reception, so 120 works well. The ceremony can take place in the orangery, which seats 120. Our wedding packages start at €95 per guest and include a three-course dinner and a drinks reception.
Visitor: Is Saturday 14 June still free?
Agent: I can't see the events calendar, so I can't confirm that date. Our events team can check it and send you a proposal for 120 guests. Would you like to leave your email or phone number?
Visitor: Yes. And can we bring our own wine?
Agent: Yes. The house rules allow your own wine with a corkage fee of €12 per bottle. Spirits are served only from the venue's bar.

Lead capture
RecommendedTurn on lead collection with email and phone. Choose the Hybrid trigger. In the AI guidance, write: “Ask for contact details once the visitor has shared an event type, a date or season and a guest count, or when they ask for a proposal, a date check or a visit.” Add keyword triggers such as available, quote, proposal, visit and wedding. Set the inline form message to “Leave your email or phone number and our events team will check the date and send you a proposal.” After submission, continue the conversation so the visitor can keep asking. Send lead notifications to your events coordinator; the linked conversation already contains the date, guest count and wishes.
Train it on
- Your website pages about each space, with capacities and layouts
- Event brochure and catering packages (PDF)
- Price list, minimum spend, deposit and cancellation terms
- House rules: music curfew, decorations, external suppliers, parking and accessibility
- Q&A pairs for frequent questions such as exclusive use, corkage, ceremonies on site or overnight stays

- Retrain your sources when prices or packages change for a new season.
- Use suggested questions for weddings, conferences and private parties if you host all three.
- Send lead notifications to everyone who handles enquiries: you plus up to 5 more addresses.
Frequently asked questions
Can the chatbot check if a date is available?
No. intoCHAT has no calendar or booking feature, and the template tells the agent never to confirm a date. It collects the date, guest count and wishes in the chat and takes an email or phone number so your team can check. If your venue software has an HTTP API, a custom API action could look up availability.
Can it send a quote?
The agent can share published prices and package rates, but not a final price. Your team sends the proposal after reading the conversation linked to the lead.
Can I change the instructions?
Yes. Paste the template into your agent's instructions, replace the placeholders and adapt it to your event types and tone. You can, for example, add rules for corporate events only or for exclusive-use bookings.
What happens when a visitor leaves their details?
The lead appears in your leads table with a link to the full conversation, and the addresses you chose get an email alert. You can filter leads and export them as CSV.
Can it answer in other languages?
Yes. The agent replies in the language the visitor writes in, using your venue content as the source. That helps with international weddings and conferences.
