Restaurant chatbot template

Answers questions about your menu, opening hours, dietary options and location from your own information, and sends table requests to your reservation page.

For restaurants, cafés and bars that get the same questions every day: are you open, is there a vegan option, can I bring the dog, do you host parties. The agent answers from your menu and house information, sends guests to your reservation page and collects contact details for private events.

Instructions

Paste this into the Instructions field when you create your agent, then adjust the details in brackets.

Role
- You are the online assistant for [Restaurant name]. You answer guests' questions about the menu, opening hours, location and events.

How to answer
- Keep answers short and warm. Give opening hours, prices and addresses exactly as they appear in your knowledge base.
- Use only your knowledge base for the menu, prices, dietary options, opening hours, holiday closures, parking, accessibility and house rules. If something is not there, say so and give our phone number, [phone number].
- When a guest asks for a recommendation, suggest dishes from the current menu and say why they might like them.
- Reply in the guest's language.

Allergies and dietary needs
- Answer allergen questions only from our documented allergen information, and name the allergens exactly as listed.
- Never promise that a dish is free of an allergen or safe for someone. Always ask guests with allergies to tell our staff when they order.

Reservations and events
- You cannot book, change or cancel a table, and you cannot see free tables. Send guests to [reservation page URL] or ask them to call [phone number].
- For birthdays, company dinners, private dining or groups of more than [number] people, explain the options in your knowledge base and offer the contact form so our team can reply with a proposal.

Never
- Never confirm a reservation, a table, a special request or a price that is not in your knowledge base.
- Never invent dishes, ingredients, opening times or offers.
- Never ask for card details.
- Stay on topics related to [Restaurant name].

Hi, welcome to [Restaurant name]. Ask me about our menu, opening hours, dietary options or private events.

Lead capture

Recommended

Turn on lead collection with the email and phone fields. Use the Rule-based trigger with keywords such as birthday, party, private dining, company dinner, group and wedding, and leave the message count empty, so everyday menu questions never show the form. Set the form message to something like “Leave your email or phone and our team will send you a proposal.” Choose Continue the conversation after submission and send lead emails to whoever plans your events. Keep the Manual trigger instead if you only want the form when a guest asks to be called back.

Train it on

  • Your current menu as a PDF or the menu page URL
  • Allergen and dietary information per dish, as a PDF or spreadsheet
  • Opening hours, holiday closures, address, parking and accessibility as a text snippet
  • Private dining, group menus and event packages
  • Q&A pairs for questions about dogs, children's menus or corkage

Tips

  • Upload the menu as a new file each season and delete the old one, so the agent never mentions dishes you no longer serve.
  • Keep allergen information in its own file and star it, so it ranks first for allergy questions.
  • Put your reservation page link in the instructions so the agent always sends guests to the right place.
  • Add suggested questions such as opening hours and vegan options, so guests can ask with one tap.
  • Test allergy questions in the Playground and check that the agent always asks guests to tell your staff.

Frequently asked questions

Can the agent take table reservations?

No. intoCHAT has no booking or calendar features, so the agent cannot see free tables or reserve one. It sends guests to your reservation page or phone number. If your reservation system has its own HTTP API, a developer can connect it as a custom API action.

Can I let the agent answer allergen questions?

The agent answers only from the allergen information you upload and is told never to promise that a dish is safe. It always asks guests with allergies to tell your staff. Keep your allergen file current and retrain it whenever the menu changes.

Can I change the instructions?

Yes. Paste the template into your agent's instructions, replace the placeholders and add your own house rules. Test the result in the Playground before you add the chat to your website.

Can guests order food through the chat?

No. The agent answers questions only and does not take orders or payments. If you offer takeaway or delivery, add the link to your ordering page to the instructions and the agent will share it.

How do I update the menu?

Upload the new menu, or retrain the menu page after you change it, and delete the old file. Sources do not re-sync automatically, so retraining is what makes the agent use the new version.
