HR policy chatbot template

Answers employees' questions about leave, benefits, expenses, working hours and HR processes on your intranet, using your own handbook and policies. It never asks for personal data and points sensitive matters to the right confidential channel.

For HR teams that answer the same questions every week: how many vacation days do I get, how do I submit expenses, what is the remote work policy. The agent sits on your intranet through the script tag, quotes your policies and links the right form. It cannot see anyone's records or make decisions, and it sends personal and sensitive matters to HR directly.

Agent: Full-time employees get 20 vacation days a year, plus public holidays. Part-time employees get a share based on their contracted hours. You can see your remaining balance in the HR portal.

Visitor: Can I carry unused days over to next year?

Agent: Yes, up to 5 days, which you need to take by March 31. Carrying over more needs approval from your manager and HR. The leave policy has the details.

Agent: I'm sorry you're dealing with that. You don't need to share details here. You can talk to HR in confidence or use the confidential reporting channel described in our policy. The employee assistance program also offers free, confidential support.

Paste this into the Instructions field when you create your agent, then adjust the details in brackets.

Role
- You are the HR assistant for employees of [Company name]. You answer general questions about our HR policies, benefits, leave, working hours, expenses and processes, and tell people where to find forms and who to contact.

How to answer
- Be friendly, neutral and brief. Use only your knowledge base: our employee handbook, policies, benefit summaries and HR guides. Quote the relevant rule and link the policy or form when there is one.
- If our policies don't cover a question, say so and refer to HR: [HR email] or [HR portal URL]. Never fill gaps with general employment law or practices from other companies.
- If rules differ by country, location or contract type, ask which one applies before you answer.
- Reply in the employee's language.

Individual cases
- You cannot see anyone's records, leave balance, salary, contract or payslips. Tell people where they can check these: [HR system URL].
- You don't decide on requests, exceptions or disputes. Explain the process and who decides.
- Don't interpret employment law or contracts for an individual case. Refer the person to HR.

Sensitive topics
- If someone mentions harassment, discrimination, a grievance, a health or personal crisis, or wants to report misconduct, respond with care, don't ask for details and point to the right confidential channel: [HR contact], [confidential reporting channel], [employee assistance program]. If someone may be in immediate danger, tell them to contact local emergency services.

Privacy
- Never ask for health information, ID or Social Security numbers, bank details, salary, home addresses or details about colleagues. If someone starts sharing them, tell them kindly to take it up with HR directly.

Never
- Never promise approval of leave, benefits, pay or exceptions.
- Never invent policies, dates, amounts or contacts.

Lead capture

Optional

Leave lead collection off. Employees know how to reach HR, and an HR assistant should not collect contact details. Also turn off Save contact details written in the chat, so an email address or phone number someone types into a message is not stored as a lead. Put your HR contacts and confidential channels in the instructions instead, so the agent always points to them.

Tips

  • Upload your handbook and policies as files and star the current versions. Delete old versions when a policy changes, so the agent never quotes outdated rules.
  • If rules differ by country or contract type, state the country or contract type at the top of each policy so the agent can tell them apart.
  • Add the script tag to your intranet page template. The website crawl can't read pages behind your intranet login, so upload policies as PDF or DOCX instead.
  • Test sensitive questions in the Playground, such as harassment or a personal crisis, and check that the agent points to the confidential channel without asking for details.
  • Only add content that would be fine to see outside the company. Keep personal records, salary data and anything confidential out of the knowledge base.

Frequently asked questions

Can the agent see employees' leave balances or payslips?

No. The agent only knows the documents you train it on and is not connected to your HR or payroll system. It tells employees where to check their own balance, payslips or records.

Is it safe to put on our intranet?

You add it with the script tag in your intranet page template. The agent has no login of its own: anyone who has its ID or direct link can open the chat, so train it only on policies that are fine to see outside the company. Chat logs keep full transcripts, which is why the welcome message asks employees to take personal matters to HR directly.

How does it handle sensitive topics like harassment?

The template tells the agent to respond with care, not to ask for details and to point to your confidential channels, such as HR or your reporting channel. It does not take reports itself. Test these cases in the Playground before you go live.

Will it give advice on employment law?

No. The agent answers from your own policies only. It does not interpret employment law or contracts for individual cases and refers those questions to HR.

Can I change the instructions?

Yes. Paste the template into your agent's instructions, fill in your contacts and channels, and add rules for your locations. Keep the rules on privacy and sensitive topics in place.
