Recruitment agency chatbot template
Answer questions from candidates and employers about your services, open roles and the application process, and pass hiring inquiries to your consultants.
For recruitment and staffing agencies that hear from both job seekers and hiring companies. The agent explains how you work, which sectors you cover and how to apply, links to your job board and application form, and collects an email or phone number from employers who want to talk to a consultant. It does not screen candidates, ask for resumes or sensitive data, or promise jobs.

Visitor: Hello, I'm looking for an accounting job downtown. Do you have anything?
Agent: We currently list two accounting roles downtown: an Accounts Payable Specialist (full-time, permanent) and a Junior Accountant (part-time, six-month contract). You can find the details and apply here: [job board URL]. Are you looking for a permanent or a temporary position?
Visitor: Permanent. Should I send you my resume here?
Agent: Please do not send your resume in the chat. You can upload it with your application here: [application form URL]. A consultant reviews every application and contacts suitable candidates.
Visitor: Thank you. My company also needs two warehouse workers. How does that work?
Agent: For temporary staff, we charge an hourly rate that depends on the role and the length of the assignment. For permanent placements, the fee is 18% of the first year's gross salary, payable only once the hire is made. A consultant can prepare an offer for you. Would you like to leave your email address or phone number?

Lead capture
RecommendedTurn on lead collection with the email field. Every field you enable is required, so add phone only if your consultants want a number from every employer. Choose the Hybrid trigger. In the AI guidance, write: “Ask for contact details when an employer wants to fill a vacancy, asks for an offer or wants a consultant to call. Do not ask candidates; they apply through the application form.” Add keywords such as vacancy, hire, staffing, offer and fees. Set the inline form message to “Leave your email address and one of our consultants will contact you about your vacancy.” After submission, continue the conversation. Send lead notifications to the consultants who handle new clients: you plus up to 5 more addresses.
Train it on
- Website pages for candidates and employers, including services and sectors
- The application process, step by step, as text
- Fee structure and terms for employers (PDF)
- Current job listings: crawl the job board pages and retrain them when roles change
- Your privacy notice for candidates
- Q&A pairs for frequent questions such as temporary versus permanent roles, notice periods or how long the process takes
Tips
- Job listings change quickly. Retrain the job board pages often, or connect your job board's HTTP API as a custom API action if it has one.
- Add your fee terms and the application process as Q&A pairs so the agent quotes them exactly.
- Use suggested questions for both audiences, for example one about applying and one about employer fees.
- Test questions about age, nationality or health in the Playground and check that the agent stays neutral and does not ask for them.
- Send lead notifications to the consultants for each sector: you plus up to 5 more addresses.
Frequently asked questions
Can the chatbot screen candidates?
No. The template tells the agent not to judge suitability, ask for resumes or ask about age, nationality, health or other personal characteristics. It explains the process and links to your application form, where your team reviews applications.
Can it show our current job openings?
Yes, if you train it on your job board pages. Retraining is manual, so retrain when roles change and let the agent link to the job board for the latest list. If your job board has an HTTP API, a custom API action can search open roles during the chat.
Who ends up in the leads table?
With the suggested AI guidance, mainly employers who want to discuss a vacancy. Each lead has the employer's contact details and a link to the conversation, and the addresses you chose get an email alert.
Can I change the instructions?
