Lead capture
OptionalWe recommend leaving lead collection off. Residents should use your official forms and offices, and a municipality does not need sales leads. If you want residents to be able to ask for a reply to a general question, turn it on with email only and choose the Manual trigger, so the form appears only when someone asks to be contacted. Set the form message to “Leave your email address and the citizen service office will reply to your general question.” After submission, show a thank-you message. Send lead notifications to the citizen service inbox.

Tips
- Exclude news archives and old announcements with path patterns so outdated rules don't reach the agent.
- Upload fee schedules and document checklists as PDFs and star the current versions.
- Add a text snippet with each department's phone number, email address and opening hours so the agent always names the right office.
- Retrain your sources when fees or office hours change. Sources do not re-sync automatically.
- Test questions in the languages residents speak most, since the agent replies in the visitor's language.

Can residents submit applications in the chat?
No. The agent explains the steps, documents and fees and links to your official online services or appointment page. It does not process applications, book appointments or see the status of a case.
Does the chatbot collect personal data?
The template tells the agent never to ask for ID or tax numbers, dates of birth, health information or payment details, and to send personal matters to the official channels. We recommend leaving lead collection off. Chat logs keep full transcripts, so anything a resident types is stored there.
Can it answer residents in other languages?
Yes. The agent replies in the language the resident writes in, using your content as the source. Official forms and legal texts stay in the languages you publish them in.
How does the chatbot stay up to date?
It answers from the content you train it on. Retraining is manual, so retrain the affected pages or documents when fees, hours or rules change. Star the current versions so they rank above older ones.
Can I change the instructions?
Yes. Paste the template into your agent's instructions, replace the placeholders and add your departments. Keep the rules on privacy and political neutrality in place.
