Dental clinic chatbot template
Answers patients' practical questions about treatments, prices, opening hours and first visits from your own information. It never diagnoses, and it sends appointment requests to your booking page or phone.
For dental practices and clinics whose front desk spends hours on the same calls: do you take new patients, what does a cleaning cost, what should I bring. The agent answers from your treatment and price information, points patients to your booking page or phone, and makes clear that anything clinical needs a dentist.

Visitor: Do you take new patients? And how much is a cleaning?
Agent: Yes, we're accepting new patients. A professional cleaning costs €95 and takes about 45 minutes. You can book on our booking page or call us during opening hours.
Visitor: I've also had a sharp pain in a lower tooth since yesterday. What could it be?
Agent: I'm sorry you're in pain. I can't assess symptoms, so a dentist needs to look at it. If the pain is severe or your face is swelling, please call our emergency line now. Otherwise our front desk can help you find an appointment during opening hours.
Visitor: Can someone call me back today?
Agent: Of course. Leave your phone number in the form below and our front desk will call you back during opening hours.

Lead capture
RecommendedTurn on lead collection with the phone field, and add email if you also reply by email. Use the Manual trigger: the form appears only when a patient asks for a callback, so nobody is asked for contact details while checking prices. Set the form message to something like “Leave your phone number and our front desk will call you back during opening hours.” Choose Show a thank-you message after submission and send lead emails to your front desk inbox. The form collects only a phone number or email, never health information.
Train it on
- Your treatment pages (crawl the URL and pick the pages)
- Your price list or fee schedule as a PDF
- A text snippet with opening hours, address, parking, emergency line and booking page
- First-visit information: what to bring, how long it takes, payment options
- Q&A pairs about new patients, insurance and payment plans
Tips
- Put your emergency line in the welcome message so patients in pain see it before they type.
- Upload your price list as a file and star it, so price answers come from the current version. Delete old price lists when they change.
- Write Q&A pairs in your own words for questions about dental anxiety, children's visits or payment plans.
- Test symptom questions in the Playground, such as “Do I need a root canal?”, and check that the agent refers to a dentist every time.
- Chat logs keep full transcripts, so read them regularly and keep the rule that tells the agent not to ask for health details.
Frequently asked questions
Can the agent book dental appointments?
No. intoCHAT has no booking or calendar features, so the agent cannot see free slots or book appointments. It links patients to your booking page, gives your phone number and, if they ask, collects a phone number for a callback. If your practice software has its own HTTP API, a developer can connect it as a custom API action.
Will the agent give medical advice?
No. The instructions tell the agent never to diagnose, assess symptoms or recommend treatment, and to refer patients to a dentist. For severe pain, swelling or injuries it gives your emergency number. Test these cases in the Playground before you go live.
What about patients' health data?
The agent is meant for practice information, and the instructions tell it never to ask for health records, medical history, ID or insurance numbers. The lead form collects only an email address or phone number. Chat logs keep full transcripts, so anything a patient types is stored there.
Can I change the instructions?
Yes. Paste the template into your agent's instructions, replace the placeholders and adjust it to your practice. Keep the rules about medical questions and privacy in place.
Does it work for patients who speak other languages?
Yes. The agent replies in the patient's language, even if your website is in one language. Check the emergency answer in the Playground in the languages your patients use.
