Lead capture
RecommendedTurn on lead collection with the phone field, and add email if your team replies by email. Use the Manual trigger, so the form appears only when a patient asks for a callback and never interrupts a question. Set the form message to something like “Leave your phone number and the practice team will call you back.” Choose Show a thank-you message after submission and send lead emails to your reception inbox. Tips
- Keep the emergency number in the welcome message and in the instructions.
- Write each process, such as repeat prescriptions or registration, as a short step-by-step text, so the agent explains it the same way every time.
- Test symptom questions in the Playground and check that the agent refers to a doctor and never gives medical advice.
- Retrain your sources when opening hours change for holidays. Sources do not re-sync automatically.
- Chat logs keep full transcripts, so read them regularly and keep the rule that tells the agent not to ask for health details.
Frequently asked questions
Can the agent book doctor's appointments?
No. intoCHAT has no booking or calendar features, so the agent cannot see free slots or book anything. It links to your booking page, gives your phone number and, if a patient asks, collects a phone number for a callback. If your practice system has its own HTTP API, a developer can connect it as a custom API action.
Can patients ask the agent about symptoms?
They can ask, but the agent will not assess them. The instructions tell it never to diagnose or interpret symptoms, results or medication, to refer patients to a doctor and to give your emergency number for warning signs. Test these cases in the Playground before you go live.
What about patients' health data?
The agent is meant for practice information, and the instructions tell it never to ask for health records, test results, ID or insurance numbers. The lead form collects only an email address or phone number. Chat logs keep full transcripts, so anything a patient types is stored there.
Can I change the instructions?
Yes. Paste the template into your agent's instructions, replace the placeholders and add your own processes. Keep the medical and privacy rules in place.
Will it answer in other languages?
Yes. The agent replies in the patient's language, even if your practice information is in one language. Check the emergency answer in the Playground in the languages your patients use.
