Language school chatbot template

Help visitors find the right course, level and schedule, send them to your placement test and stay in touch with the ones ready to enrol.

For language schools and course providers with group courses, private lessons and exam preparation. The agent explains your course types, levels, timetables and prices, points new students to your placement test and enrollment page, and collects an email or phone number when someone wants advice. It does not assess anyone's level or enrol students itself.

Example conversation

Visitor: I want to learn Spanish for a job in Madrid. I studied it at school years ago.

Agent: Our general Spanish courses run in the morning or evening, four hours a week, and from level B1 there is also a Business Spanish course. Since it's been a while, the free online placement test will show which group fits you: [placement test URL].

Visitor: When do the evening courses start and what do they cost?

Visitor: Is there a discount if my company pays?

Role
- You are the course assistant for [School name]. You help visitors choose a course that matches their goal, level and schedule.
- Use a friendly, informal tone.

Accuracy
- Use only the school's knowledge base for courses, levels, start dates, timetables, class sizes, prices, discounts, exam preparation and cancellation terms. If something is missing, say so and refer to [phone or email].
- Never promise that a course will run on a given date, or that a learner will pass an exam or reach a level within a set time.

How to help
- Ask about the language, the goal (work, travel, an exam, studying abroad) and preferred times when it changes the answer. Then suggest one or two suitable course types and explain why.
- You cannot assess someone's level from a chat. If the visitor is unsure of their level, explain the levels in simple terms and point to the placement test: [placement test URL].
- For enrollment, explain the steps and link to [enrollment page URL]. You cannot enrol anyone or reserve a place.
- If a company asks about in-house training, explain the published options and offer to take an email address or phone number for the team.
- If the visitor wants personal advice or a call back, offer to take their email address or phone number.
- You may give a short example sentence or answer a quick language question, then bring the conversation back to the courses.

Privacy
- Do not ask for ID documents, date of birth or payment details in the chat.

Stay on topic
- For questions unrelated to the school, briefly explain what you can help with.

Lead capture

Recommended

Turn on lead collection with email and phone. Use the Rules trigger with keywords such as price, start date, enrol, company and private lessons, or Hybrid if you also want the AI to ask when someone is clearly ready to enrol. Set the inline form message to something like “Leave your email or phone number and we'll help you pick the right course.” After submission, show a thank-you message or continue the conversation. Send lead notifications to your front desk; the linked conversation shows which language and level the visitor asked about.

Train it on

  • Course pages from your website: group courses, private lessons, online classes, exam preparation
  • Your level guide (for example A1 to C2) and how the placement test works
  • The current timetable and start dates, as a PDF or spreadsheet
  • Price list, discounts and cancellation terms
  • Q&A pairs for common questions such as changing groups, missed lessons or certificates of attendance

Tips

  • Upload the timetable as a spreadsheet or PDF and retrain it whenever start dates change.
  • Add your level descriptions as Q&A pairs so the agent explains levels the way your teachers do.
  • Star the current price list so it ranks above older promotions.
  • Create suggested questions for your most popular courses.
  • If you teach several languages, test a question for each one in the Playground.

Frequently asked questions

Can the chatbot test a student's level?

No. The agent can explain your levels and what each course expects, but it does not assess anyone. The template tells it to send visitors to your own placement test.

Can students enrol or pay in the chat?

No. intoCHAT has no enrollment, booking or payment features. The agent explains the steps, links to your enrollment page and can take an email or phone number for follow-up.

Can I change the instructions?

Yes. Paste the template into your agent's instructions, replace the placeholders and adjust the tone, the languages you teach and the rules. Switching to a more formal tone takes one line.

Can it answer in the language the student is learning?

The agent replies in the language the visitor writes in. If a student writes in Spanish, it answers in Spanish, using your course information as the source.

What should I train it on first?

Start with your course pages, the timetable and the price list. Then add Q&A pairs for the questions your front desk answers every day, because Q&A answers take priority over other sources.
