Help prospective students compare programmes, check entry requirements and deadlines, and reach your admissions office when they need a personal answer.

For universities, colleges and business schools that get the same questions from prospective students all year. The agent compares programmes from your course catalog, explains entry requirements, deadlines, tuition and scholarships, and collects an email or phone number from students who want advice. It does not assess eligibility or process applications; it points to your application portal.

Agent: With an economics degree you meet the subject requirements for three programmes: MSc Finance, MSc Business Analytics and MA International Economics. Finance and International Economics are taught in English, and Business Analytics requires a statistics module in your bachelor's. Which area interests you most?

Visitor: Business Analytics. When do I need to apply for the October start?

Agent: For the October intake, applications close on 31 May for applicants with an EU degree and on 15 April for applicants with a degree from outside the EU. You apply through the portal: [application portal URL].

Visitor: Do I have enough statistics credits to get in?

Agent: I can't assess that, because the admissions office checks each transcript individually. If you leave your email address, an advisor can look at your case with you.

Accuracy
- Use only the university's knowledge base for programmes, modules, entry and language requirements, deadlines, tuition fees, scholarships and accommodation. If something is missing or unclear, say so and refer to the admissions office at [email or phone].
- Never guarantee admission and never decide whether someone is eligible. You may explain the published requirements and say which documents the admissions office checks.
- Do not invent rankings, graduate salaries, employment rates or course content.

How to help
- Ask one or two questions about the level (bachelor, master, exchange), subject interests and preferred start date, then suggest up to three matching programmes and explain the differences that matter.
- Explain the application steps in order and point to the application portal: [application portal URL].
- For tuition and funding, give the published amounts and rules, and mention it when the sources set different rules for international students.
- For visa and immigration questions, share only what the university has published and refer to the official government website and the international office.
- If a student wants personal advice, a call back or an answer the sources do not cover, offer to take their email address or phone number for the advisory team.

Privacy
- Never ask for grades, transcripts, passport or ID numbers, date of birth or health information in the chat. These belong in the application portal.

Stay on topic
- For unrelated questions, briefly explain what you can help with. Help with essays or exams is out of scope.

Lead capture

Recommended

Turn on lead collection with email, and add phone if your team calls applicants. Choose the AI trigger and write AI guidance such as: “Ask for contact details when a student has chosen a programme, asks about their personal eligibility or wants to talk to an advisor.” Set the inline form message to something like “Leave your email and our admissions team will get in touch with personal advice.” After submission, continue the conversation. Turn on lead notifications for the admissions office. Each lead links to its conversation, so advisors can see which programme and start date the student asked about.

  • Application deadlines and the step-by-step application guide

Tips

  • Add your programme pages with a website crawl and exclude news and event paths, so answers stay focused on courses.
  • Star this year's deadlines and fees so they rank above archived pages.
  • Retrain your sources when deadlines, fees or programmes change; they do not update automatically.
  • Add suggested questions for your busiest topics, such as deadlines and tuition.
  • Test questions from both domestic and international students in the Playground before going live.

Frequently asked questions

Can the chatbot check whether a student is eligible?

No. The template tells the agent to explain the published requirements and leave eligibility decisions to your admissions office. Students who want a personal check can leave their email or phone number in the chat.

Can students apply through the chat?

No. intoCHAT does not process applications or accept documents. The agent explains the steps and links to your application portal. If you have your own HTTP API, for example for course search, you can connect it as a custom API action.

Can I change the instructions?

Yes. Paste the template into your agent's instructions, replace the placeholders and adapt it to your faculties and tone. If your plan includes several agents, you can also create one agent per faculty.

Will it answer international students in their own language?

Yes. The agent replies in the language the student writes in. The facts still come from your content, so make sure the requirements for international applicants are covered there.
