The agent explains how to apply, shares your published dates and fees, and takes a parent's email or phone number when they want a personal reply. It does not book visits or process applications; it links to your own forms for that.

Lead capture
RecommendedTurn on lead collection with both email and phone. Choose the Hybrid trigger (AI and rules). In the AI guidance, write: “Ask for contact details when a parent wants a call back, a private tour or an answer about their child's individual situation.” Add keyword triggers such as tour, visit, call back and waiting list. Set the inline form message to something like “Leave your email or phone number and our admissions team will get back to you.” After submission, continue the conversation so parents can keep asking. Turn on lead notifications and add the admissions office address.

Tips
- Replace every placeholder in square brackets, such as [School name] and [application form URL], before going live.
- Add the questions your office answers most often by email as Q&A pairs. Q&A answers take priority over other sources.
- Star the current fees document so it ranks above older pages that mention last year's fees.
- When dates or fees change, update the source and retrain it. Sources do not re-sync on their own.

Frequently asked questions
Can the admissions chatbot book school tours?
No. intoCHAT has no booking or calendar feature. The agent shares your open-day dates, links to your own registration page and can take a parent's email or phone number so your team can arrange the visit. If your booking system has an HTTP API, you can connect it as a custom API action.
Can I change the instructions?
Yes. Paste the template into your agent's instructions, replace the placeholders, then adjust the tone, scope and rules. Instructions are a setting, so you don't need to retrain your sources after changing them.
Does the chatbot collect personal data about children?
The instructions tell the agent not to ask for a child's details, health information or documents, which belong in your official application form. The lead form only collects the email address or phone number a parent chooses to submit.
Can it answer parents who speak other languages?
Yes. The agent replies in the language the visitor writes in. The facts still come from the content you trained it on, so keep your admissions pages and documents up to date.
Which plan do I need?
