Transfer an agent to another account

Hand an agent you built to a client or colleague: a single-use transfer link, what moves with the agent, which connections are disconnected, accepting it, plan limits and cancelling.

A transfer moves one agent from your account to someone else's intoCHAT account, with its knowledge, settings and conversations. Agencies use it to build an agent in their own account and hand it to the client when it's ready.

You make a transfer link and send it to the recipient. When they accept it, the agent is theirs and leaves your account.

Who can transfer

  • The account owner and admins can make and cancel transfer links. Editors and viewers can't. See Team members and roles.
  • A super admin viewing your account for support can't make or cancel a transfer link.
  • Anyone with an intoCHAT account can receive an agent, on any plan, if the plan has room for one more agent. See Plan limits.
  1. On the Agents page, open the agent's ... menu and choose Transfer to another account.
  2. Check what moves and what is disconnected. The dialog lists both for this agent.
  3. Optionally enter the Recipient's email. Then only someone signed in with that address can accept. This is recommended: without it, anyone with the link can accept.
  4. Click Create transfer link.
  5. Click the copy button next to the link and send it to the recipient.

The link works once and expires after 7 days. It's shown only once: intoCHAT stores only a fingerprint of it. If you lose it, make a new one.

An agent has at most one open link. Make a new link replaces the open one, and the old link stops working.

Open Transfer to another account on the agent again. While a link is open, the dialog shows until when, and for which address if you entered one. Click Cancel link. Someone who opens the link then sees "This transfer link was cancelled".

What moves

Everything that belongs to the agent moves with it:

  • its knowledge sources, already trained, and its settings;
  • actions, custom buttons, chat forms and procedures;
  • conversations, leads, contacts, form submissions, bookings and return requests;
  • webhooks made in the dashboard, preview links, settings history and tests with simulated customers.

The agent keeps its ID, so the embed code on the website keeps working. Its settings history gets a version "Transferred to this account" with the recipient as author.

What is disconnected

Connections that hold your credentials stay with you. When the transfer is accepted they're removed from the agent, and the recipient connects their own:

  • the Cal.com or Calendly booking connection;
  • the store's order connection (Shopify or WooCommerce);
  • the helpdesk connection (Zendesk, Freshdesk or HubSpot);
  • the Slack webhook URL, and with it the Slack alerts;
  • the link of Notion pages to your Notion connection. The pages' text stays in the knowledge, but they stop updating;
  • webhooks made through an API key, such as Zapier and Make subscriptions. Your API keys never give access to the agent after the transfer.

Live chats in progress are ended. The agent also leaves your dashboard folder.

What the recipient should review

Some settings move as they are, and the recipient sees them on the page before accepting:

  • Identity verification: the secret stays, so the recipient's website keeps working. You have seen the secret, so the recipient should rotate it under Share and update their site. See Identity verification.
  • Lead alert recipients: extra addresses under Also send to on the Leads tab keep receiving alerts until the recipient changes them.
  • Webhooks: webhooks made in the dashboard keep sending events to their URLs until the recipient changes or removes them.
  • Actions: API actions keep their headers and parameters, including any keys in them.

Accept a transfer

  1. Open the transfer link.
  2. If you aren't signed in, click Sign in, or Create account if you don't have an intoCHAT account. You come back to the link afterwards. Which agent it is, and from whom, is shown only once you're signed in.
  3. Check the agent's name, who is sending it, what moves, what is disconnected and what to review.
  4. Click Accept the agent.

The agent opens in your own account. It always goes to your own account, also when you're working in an account you're a member of.

  • The link is for another address: the page says "This transfer is for a different email address". Click Sign out, then sign in with the address it was sent to.
  • The agent is already yours: you can't accept a link for an agent in your own account.

Plan limits

The agent counts toward the recipient's plan. If their plan has no room for another agent, the page says so and Accept the agent is replaced by See plans. Upgrade, or delete an agent, then open the link again.

From then on, the agent's messages count toward the recipient's monthly messages. The agent keeps its knowledge even if it's over the recipient's characters-per-agent limit, but no knowledge can be added until it's under the limit.

After the transfer

  • You lose access to the agent, unless you're a member of the recipient's account. Your team members lose access too.
  • The recipient can invite you to their account to keep working on it.
  • Nothing is emailed: tell the recipient the link is coming.

Limits

  • One agent per link. To move several agents, make a link for each.
  • A transfer can't be undone. To get the agent back, the recipient makes a transfer link for you.
  • The whole account, its plan and its billing can't be transferred.
